What personal data we collect and why we collect it

What personal data is collected?

We will ask for a completed booking form for every booking. The booking form will ask for active consent from every user (booking client) for this data. This will include name, email address, as well as data concerning health – medical information.

Why we collect this personal data:

Information from a client obtained through the booking form, is of ‘Vital Interest’ in relation to the activity which has been booked by the client. Medical information from a booking form may be carried on the person of an Instructor/Guide/Leader contracted by Hunter Mountaineering, for the course of the booked activity. If a paper copy of the booking form exists, then it will be stored securely in the Office at Hunter Mountaineering. If the client information or booking form exists electronically, for example in an email, then it will be on a device protected by a Password and/or Passcode.

Clients booking forms (which contain the medical information) will be carried by Max Hunter during the booked activity, or any freelance instructor booked by Hunter Mountaineering. The medical information can then be referenced during a medical emergency. Under GDPR this information is classed as being of ‘vital interest’. After the activity, the client data (information on the booking form) will either be held for internal management, or will be destroyed / shredded.

All freelance instructors booked to work for Hunter Mountaineering will agree to, and sign the Hunter Mountaineering Data Sharing Agreement, before the work. After the activity, the client data will be either destroyed by the freelance Instructor/Guide/Leader or be held for internal management securely in the Office at Hunter Mountaineering.

The client or any ‘data subject’ is able to contact Hunter Mountaineering at any point, via any method of communication to have their data destroyed, removed or amended. This applies to paper data from the booking form, or electronic data from the booking form.


When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: After approval of your comment, your profile picture is visible to the public in the context of your comment.


If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.


If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

When considering the security of sending your personal data (e.g. Booking Form) to HM it is important to remember that different methods of communication have different levels of security. Emails are not 100% secure, because passwords can be broken – emails are NOT end-to-end encrypted.  If you would like a more secure method of sending your personal information (e.g. the Booking Form), then WhatsApp or Facebook Messenger are available – these are both end-to-end encrypted – therefore they are the most secure way to send your personal data. HM will send you the blank Booking Form by email, and you are welcome to send it back to HM by 1. Email, 2. Post, 3. WhatsApp or 4. Facebook Messenger.
